The report covered the activities of Toitū Otago Settlers Museum for the period 1 March 2017 – 31 March 2017.

There was discussion regarding:

·      The hire of, and ease of access to the upstairs hall;

·      The Service IQ New Zealand Museum Awards – TOSM gained 4th place in the Exhibition Excellence – Social History category;

·      Fundraiser, for the installation of an indoor heated space at the Chinese Garden, starts September 2018.

EXECUTIVE SUMMARY  

1      This report covers the activities of Toitū Otago Settlers Museum for the period 1 April – 30 April 2017. This is the last complete month within the six week Board reporting cycle.

 

RECOMMENDATIONS

That the Board:

a)     Notes the Toitū Otago Settlers Museum Activity Report.

 

BACKGROUND

2      Not Applicable.

DISCUSSION

Visitation

3      There were 30,733 visitors to Toitū Otago Settlers Museum (TOSM) for April 2017. The year to date figure is 265,290 which is an increase of 3.27% or 8,484 higher than the same period last year. Museum visitation continues to rise. 

4      There were 3,597 visitors to the Dunedin Chinese Garden (DCG) for April. The year to date figure is 46,819 which is an increase of 15.8% or 6,413 higher than the same period last year. Visitation will be at a record high by year-end for the Garden, combined with high ticket sales, and above revenue-target and food sales. Increased marketing activity in this area combined with a higher TripAdvisor rating contributed to this success.

5      The high number of visitors in January 2017 was a result of the Chinese New Year event. The Chinese New Year event was held in the month of February last year. The Chinese New Year is the new moon occurring between 21 January and 20 February each year.

Financial Summary

6      The financial results below are for the period ended 30 April 2017 and include the operation of both TOSM and the DCG.

7      The net result for the eight months to April 2017 was $380K Favourable.

8      The financial result for Toitū Otago Settlers Museum was overall in line with expectations.

9      The Dunedin Chinese Garden end result is $35K Favourable.

Visitor Experience

Exhibitions

10    Work continues on future exhibitions with openings commencing as follows:

·      Sketched in Stone, August 2017

·      Disappearing Dunedin, late 2017

·      The Women’s War, October 2017

·      The Kai Tahu Migrations, 2019

Public Programmes

11    Eleven public programmes held during April generated 1,138 attendees. The number included approximately 800 visitors for morning tea following the Dawn Service on ANZAC Day. A marketing push for Toddler Time in April resulted in numbers exceeding booking capacity. Fifty pre-school children attended Toddler Time programmes.  Other popular programmes included a special screening of Journey to Lan Yuan and Dunedin singing group Sunny Side Up.

Education LEOTC

12    A total of 177 students attended LEOTC programmes in April comprising 23 secondary and 144 primary students, with 34 adults accompanying these groups.

13    Highlights of the secondary school programme included Year Nine Kavanagh College students devising a drama on the signing of the treaty of Waitangi at Otakou and group of Year Ten business students whose visit centred on the history of commerce in Dunedin.

14    Primary programmes concentrated on the museum area Across the Ocean Waves featuring the sea journey experience of the early settlers. Thirty-five students also came to the museum to study the ANZAC story.

Life Long Learning

15    The Journey to Lan Yuan children’s trail was popular over the school holidays. Vintage toys and dress-ups in the bus station foyer also attracted many visitors.

16    One hundred and forty one students from the University of Otago and Otago Polytechnic attended programmes including teaching students studying the primary curriculum, film, television and Art History students.


 

Collections Management

17    Work on developing collections policy and procedure continues. Discussion regarding disaster preparedness have commenced with DCC Archives. This work is expected to be on-going with development of internal strategy and policy.  Further to this Crowe Horwath conducted an Arts and Cultural asset review of TOSM. Included were interviews with the collections team and demonstrations of processes.

18    The continuous improvement of safety in the workplace focus is on hazardous materials in the collection. Two new specialist storage crates have also been produced for the pianos, as part of Health and Safety requirements.

19    Conservation and dressing of approximately twenty Material Culture mannequins has been a significant amount of work and is progressing well.

Manawhenua Engagement

20    An onsite meeting with the Ngai Tahu Cultural Mapping Team archivist Jill Durney has been set to discuss cataloguing records, synergy of collection databases and a formalising of this relationship.

21    The whanau of Motoitoi, and Richard Driver, an early identity and Harbour Pilot, visited the museum with a Canadian film crew documenting the lives of ancestors.

Partnerships and Collaboration

22    The Fire Brigade Restoration Society (FBRS) are assisting with historical detail for the significance document as part of the Land Rover project. This vehicle is to be re-licenced and certified, and a comprehensive condition plan report is written.

23    Museum staff participated in a site visit to the Manuka Walkway sticks in Mosgiel in conjunction with staff from Dunedin City Council (DCC) Property. Advice was given on condition and storage of objects. A report has been forwarded to Property.

24    The museum worked in collaboration with the Otago Museum for object treatment.

25    The museum was represented at the New Zealand Conservators of Cultural Materials (NZCCM) executive meeting held in Dunedin.

26    Talks were conducted for the Caversham Baptist Group (Slice of Life), Maori Hill Women’s Club (Journey to Lan Yuan), and the Anderson’s Bay Probus Group (tour of Slice of Life)

27    A tutorial was held on site with students from the University of Otago Art History Department as well as the annual tutorial held for the University of Otago Computer Science Department.


 

Commercial Activity

Retail

 

28    Monthly retail revenue was similar to last year with a greater margin on products sold. Home wares, jewellery and stationary continue to be strong sellers and there has been an increase in accessory sales.

Venue Hire

29    Venue hire in the museum for the period included a book launch, a lecture, a formal dinner in the Josephine Foyer, an awards ceremony and an association function.

Dunedin Chinese Garden

Functions and Events

30    During the month of April screenings of short films were hosted at the garden for the inaugural China Film Festival in Dunedin. Venue hire comprised a wedding and a private meeting. Developments are underway for attracting and increasing the school holiday audience.

Volunteers

31    Two new volunteers have joined the DCG support team.

Maintenance in the Garden

32    Painting resumed in the new Penjing area outside of the Scholar’s Office and the adjoining courtyard in preparation for the new Penjing display. As the cruise ship season has finished painting will be ongoing until all areas are completed.
