1      This report covers the activities of Toitū Otago Settlers Museum for period 1 March to 31 March 2018.

BACKGROUND

DISCUSSION

Visitors

3      There were 29,188 visitors to the Toitū Otago Settlers Museum (TOSM) from 1 March to 31 March 2018 compared with 27,463 for the same period last year. The total visitor numbers for the Museum for the last financial year were 309,491. The Museum is on track for a record number of visitors by year end – in the region of $320,000.

 

4      There were 4,812 visitors to the Dunedin Chinese Garden (DCG) from 1 March to 31 March 2018 compared with 5,035 for the same period last year.  The total visitor numbers for the Garden for the last financial year were 51,164. The DCG is tracking towards a final figure of around 51,412.

 

(Note: The high number of visitors in February 2018 was a result of the Chinese New Year event. In 2017 the Chinese New Year event was held in the month of January. The Chinese New Year is the moon occurring between 21 January and 20 February each year.)

Financial Summary

5      The financial results below are for the period ended 31 March 2018 and include the operation of both TOSM and the DCG.

6      The net favourable outcome for the first nine months of the new Financial Year to March 2018 was $127K Favourable.

7      The financial result for the Otago Settlers Museum was overall in line with expectations.

Sustainability

 

8      Energy usage continues to fall at the Museum, with good practices put into place following an Energy Audit in 2016. The Building Management System has now been fully commissioned following the 2016 upgrade which should result in further continuous improvement.

9      Savings made so far this year (to March 2018) are $41K. In the last Financial Year (2071/18), total energy savings were $56K.

10    For this last quarter, January energy usage was high due to January 2018 being the hottest month ever recorded in Dunedin. As such January electricity use compared to the previous year increased by 27% due to additional cooling and dehumidification requirements. Even with this additional load the electricity use was still less than in 2016 which is the year prior to when changes were made to the building management system (BMS).

11    As requested, LPG usage has been reduced, and in January 2018 was zero due to a trial where the boiler was turned off, saving approximately 18,000kWh or $2,000.  Extending this trial across all of the summer months (and into autumn and spring), could result in a potential $10,000 annual saving for a small investment.

12    February saw a return to normal temperatures and the additional savings from turning the boiler off in February can be easily seen when compared to last year when the boiler was running.

13    As technology allows, the last remaining non-LED lights in the Museum (in the non-public spaces) are being replaced with LED fittings. These lights have much lower energy usage and produce no Ultra-Violet radiation and so are better for object conservation.


 

Visitor Experience

Exhibitions

14    The Sketched in Stone Exhibition continues in the Special Exhibitions Gallery, showcasing local lithographic artists of the Victorian and Edwardian era. The exhibition runs until 13 May 2018.

15    The Women’s War: Patriotism, Service & Dissent continues in the Special Exhibitions Gallery, focussing on the World War I experiences of Otago women, ranging from patriotic activity, service as nurses and volunteers, to a minority who stood fast against the war. The exhibition runs until 24 June 2018.

16    Toitu te Whare Taoka is a small photographic display which opened in the NZR Lounge (Bullnose) on 28 November. The exhibition showcases Kai Tahu whanui’s ongoing relationship with the Museum and celebrates the fifth anniversary of the completion of the redevelopment project. The exhibition runs until 22 May 2018.

17    What If? Otago’s Harbour Vision is pop-up display in the NZR Lounge (Bullnose) of the architectural models for the proposed long-term Harbour development created by Dunedin company, Architecture Van Brandenburg. The newly-relocated Feedback Tree has already received over 3,000 responses from visitors, with a particular focus on the proposed pedestrian overbridge which features in the DCC’s 10 Year Plan. Given the Museum’s close proximity to the proposed development (the bridge would begin just outside the Bullnose/Chinese Garden entrance) this has proved a great opportunity for the Museum to become a venue for discussions around the future of our city and in particular the Harbour and Heritage Precincts of which we are such an important component.

Public Programmes

18    A total of 13 programmes were held with a total of 479 attendees.

19    Highlights included a talk by Jim Geddes on Muka Studios and the resumption of stone lithography in Gore; The Stupendous Pinniped Puppet Show in conjunction with the New Zealand Sea Lion Trust; Tuesday Club included guest speaker Brian Miller speaking on Dunedin artist Ralph Miller and his work during and after World War II. The versatile singing group, Melrose Singers also gave a live performance in March including a repertoire of classical, traditional, folk and pop songs.

Education

Learning Experiences Outside the Classroom (LEOTC)

21    A total of 741 students participated in LEOTC programmes during the March period comprising 260 secondary students and 481 primary students (46 adults accompanied these groups).

Collections Management

22    Wireless access points have been installed this month in the various collection stores including the archives. This enables multiple users to be working in these areas on Vernon - Collection Management Software (CMS).

23    Collections Legacy planning work continues with the Director as part of the Strategic Plan goals for the next few years.

24    Collections continue work on rationalising the two strong-room collection areas. This involves inventory work.  The Collection Assistant, Registrar and Masters intern will continue to work on this around other tasks.

25    Chemical spill training happened on the 2nd week of March. The Collections team and the Museum Technician participated in this and now have attained the 20733 / 21467 unit standards covering this area. Spill kits are now installed into the three main Collection Stores containing potential hazards.

26    There were 367 objects catalogued by various staff including interns in March.

27    The Collections team continued processing potential donation objects through the IR process and 10 offers of objects for the collection have been received for consideration by the curators this month.

28    Ongoing digital storage needs continue to be explored with BIS. As more photographs and videos are taken and copied and as more “born digital” material is donated, then more 3-level digital storage is required.

Mana Whenua Engagement

30    The Bill Dacker collection project with the Kāi Tahu Cultural Mapping Team is progressing. A meeting between TOSM, Bill Dacker and Kāi Tahu is booked for early in April and a plan for the next steps will come from this.

31    Planning is underway for a visit by Ngati Ruanui, one of the Taranaki Iwi, and by a group of rangatahi from Tauranga in April.

32    Regular meetings are held of the Kāi Tahu TOSM Liaison Group, where forward planning and consultation are considered.

33    Working in conjunction with iD Fashion and local Kāi Tahu designers, an iD Associated Event is being planned for April showcasing the designs of Darleen Gore, Fiona Clements and Amber Bridgman, all local Kāi Tahu designers.

Partnerships and Collaborations

34    The intern from Museum and Heritage Studies continues to work on various projects including inventory, cataloguing, digitisation and description of films in the collection working with the Director on the Digital Strategy.

35    Work on digitisation of the film collection also continued this month in conjunction with Maurice Hayward of the Film Heritage Trust.

36    The Registrar continued the work with two skilled embroiderers one afternoon per week on rehousing some of the textile works.

37    The Rockliff scholarship funded by the Otago Settlers Association (OSA) is in the final stages of sign off and should be ready for advertising early April. A guide on cataloguing has been written and so the winner of the scholarship can begin this work as soon as they begin.

Commercial Activity

Retail

38    Retail revenue for the period was $15,543. The revenue is down slightly for the 9 months to March 2018.

Venue Hire

39    Revenue for venue hire is $16,617 for the financial year-to-date and a comparative figure will be available in the next financial year.

Audience Engagement

Dunedin Chinese Garden

41    As part of the Lantern Festival at the end of Chinese New Year, there was an evening viewing of the Garden on 2 March 2018, with a range of activities.

42    Easter was another busy time for the Garden despite inclement weather.

43    Planning meetings have continued for the Ten Year Anniversary celebrations in September 2018, as well as for the upcoming TRENZ show in May 2018.
